Job Description

We are seeking a detail-oriented and organized Project Administrator to support the financial, contractual, and administrative functions of multiple construction projects. The successful candidate will work closely with project managers, accounting staff, subcontractors, suppliers, and customers to ensure accurate project reporting, compliance, billing, and financial management throughout the project lifecycle.
Responsibilities: 
  • Set up new projects in the Job Cost System.
  • Process payroll, insurance, and overhead allocations to projects.
  • Process, review, and track general ledger postings related to construction draws for multiple projects.
  • Ensure subcontractor and supplier Waivers of Lien are received, reviewed, and properly maintained.
  • Verify compliance requirements for subcontractors and suppliers, including W-9 forms, insurance certificates, EEO documentation, and other required records.
  • Process accounts receivable transactions and support construction billing and collections activities.
  • Assist with follow-up on outstanding accounts receivable invoices to help maintain positive cash flow for the company and its subcontractors/suppliers.
  • Ensure contracts and change orders are processed accurately and in a timely manner.
  • Analyze project cost variances and collaborate with project teams to implement corrective actions when needed.
  • Prepare and report project profitability metrics to management.
  • Work closely with customers to ensure project reporting requirements are met.
  • Close out project accounts upon project completion.
  • Create and submit government reports and tax returns related to projects.

Responsibilities

  • Associate's or Bachelor's degree in Accounting, Business Administration, Construction Management, or a related field preferred.
  • Minimum of 2 years of project administration, construction accounting, or related experience.
  • Experience working with job cost accounting systems and construction management software.
  • Strong understanding of accounts receivable, accounts payable, payroll allocation, and general ledger processes.
  • Knowledge of construction billing, contracts, change orders, lien waivers, and compliance documentation.
  • Ability to manage multiple projects and deadlines simultaneously.
  • Strong analytical and problem-solving skills.
  • Excellent organizational skills and attention to detail.
  • Proficiency in Microsoft Excel and other Microsoft Office applications.

The hourly rate for this position is $32.00/hour. This range is a good-faith estimate based on factors such as relevant skills, experience, education, training, geographic location and other considerations permitted by law.
